Uism K.K. (hereinafter referred to as “we” or “the company”) is dedicated to investigating experiences in various fields including automobiles, IT, and healthcare, and providing consistent support to client companies’ UX strategies, from research to design. In conducting our research activities, we have established the Privacy Policy detailed below, and will handle collected or otherwise acquired information in accordance therein.

1. Definition of personal information

We define personal information as all information, including personally  identifiable information, that can be used to accurately identify individuals.

2. Purpose of collection, scope of use, deletion and correction of personal information

We may collect personal information in the following two areas of service:

  1. Personal Information of Participants in Survey Services
    • When collecting personal information, we will inform individuals of the collection purpose, usage methods, and contact point in advance. We will only collect personal information from participants within the necessary scope. For its use, we will adhere to the consent given at the time of collection and restrict usage to the scope agreed upon at time of collection. Measures will also be taken to prevent usage beyond the intended purposes.

  2. Website Browsing Information in Our Website Operations
    • To operate and improve our website, we collect browsing information (cookie information) from site visitors. Additionally, when using our inquiry form, we gather email addresses and names.

3. Discretionary provision of personal information

Provision of personal information is voluntary, however, as services may be dependent on information provided, if certain information is withheld, we may be unable to provide all or part of the requested services.

4. Personal information management framework

To ensure the safe handling and operation of personal information, we have set up a framework necessary to manage personal information and appointed a Personal Information Management Officer to oversee the necessary tasks.

5. Collection of personal information under an outsourcing agreement

Under provision of information processing services that include personal information through an outsourcing agreement, we will set out and adhere to the clauses of confidentiality, subcontracting, sharing of responsibility at the time of incident, returning and deleting of personal information at the expiration of the agreement, and all other necessary guidelines as laid out in the agreement.

6. Provision of personal information to a third party

We do not provide personal information to third parties without obtaining the consent of the person concerned, nor do we provide personal information to third parties under the opt-out system as defined in Article 23, Paragraph 2 of the Personal Information Protection Act, except for the following exemptions:

  • when required by law
  • in cases where necessary for the protection of human life, health or property, and it is difficult to obtain the concerned person’s consent
  • in cases where necessary for the protection of human life, health or to promote the sound development of children, and it is difficult to obtain the concerned person’s consent
  • in cases where cooperation is required with national or local public entities or individuals commissioned by public agencies to perform administrative functions prescribed by law and obtaining the concerned person’s consent produces a likelihood that execution of the concerned administrative function may be affected

7. Consignment of personal information

We may outsource the handling of personal information to the extent necessary to achieve the purpose of use. When doing so, we ensure that consignee corporations or individuals have in place a personal information protection system at an equivalent or higher level than our own, and, upon confirmation, only entrust information within the scope of the purpose of use.

8. Disclosure of personal information

Disclosure of personal information to a third party will not be implemented without prior consent. In the case a third party is entrusted to process personal information, strict supervision of its operations through concluding an agreement prohibiting divulging or offering of entrusted information to another party will be implemented. 9. Security measures

We implement rigorous security measures to protect personal information from various threats. Our security system is constantly reviewed and maintained to prevent unauthorized access, loss, misuse, destruction, leakage, and alteration of the information. To prevent human error in the protection of personal information, all employees are educated and trained on proper handling and risk of collected information.

10. Legal compliance and the continuous improvements on the personal information management framework

We observe applicable law, regulations, guidelines and other official standards concerning personal information while regularly reviewing and improving our initiatives described above. However, we will disclose personal information to comply with legally enforceable requests from courts, police departments, consumer centers, or other comparable authorities.

The company reserves the right to modify this Privacy Policy based on various factors including changes in laws, guidelines, and operational necessities. When such changes occur, we will ensure proper communication and notification to the concerned parties through appropriate means.

Purpose of Personal Information Use

  1. Our main duty is the implementation of user research. The purpose is to survey and collect consumer awareness and actual conditions related to products and services, process that information statistically, and provide it to corporations and organizations. As a rule, the collected personal information is gathered as statistical data and is not used in a way in which an individual can be identified.
  2. In order to identify people who cooperate with our research (survey respondents), there are cases where we collect names, addresses and other information. The methods of collection are from a variety of proper and legal information sources, including survey and interview.
  3. We use personal information (name, address, telephone number, email address, gender, date of birth, other related information, survey details, etc.) of survey respondents obtained for the purpose of research or acquired in the process of research for the following purposes:
    • Survey respondent sampling, survey requests, sending of questionnaires, confirmation and analysis of survey results, provision of information to clients and other matters required to conduct marketing research
    • Confirmation and reception of participants at survey sites and in discussions
    • Visitation and implementation of interviews or visitation surveys by investigators
    • Award or exchange of points, payment of rewards, sending gifts or survey sample products to respondents
    • Response to inquiries by survey respondents, support, and contact to confirm registered information details
    • Display and other procedures related to identity verification and registered information on survey respondents’ membership pages
    • Other incidental or related matters to the above

      In the case where the handling of personal information exceeds the scope of the purpose of use, we will inform the respondent in advance by posting the terms on our website, explicitly stating it in writing, or by contacting the respondent by email or telephone, to obtain agreement.
  4. In some cases, we conduct marketing research that does not identify the cooperating people (survey respondents). There are cases in which we collect (acquire) the names, addresses and other personal information of the respondents, however, in those cases, respondents will be informed verbally or in writing on the purpose of use.
